THE CONSTITUTION OF THE GERMAN SHEPHERD DOG CLUB OF ESSEX

NAME AND OBJECT OFFICERS AND MEMBERS ANNUAL RETURNS TO THE KENNEL CLUB COMMITTEE MEMBERSHIP EXPULSION OF MEMBERS GENERAL MEETINGS CLUB ACCOUNTS CLUB PROPERTY DOGS FEDERATION KENNEL CLUB FINAL COURT OF APPEAL
NAME AND OBJECT
  1. The Club shall be called "The German Shepherd Dog (Alsatian) Club of Essex" hereinafter referred to as "The Club" and its object shall be to further promotion of the Breed, to instruct handlers and dogs (G.S.D. only) in obedience and ringcraft training, also to hold Breed and Obedience shows, and to offer prizes and awards for merit in connection with any show, competition or matches held by the Club.
  2. Further and subject to Kennel Club approval to affiliate with, join, subscribe to or become a Member of any Association whose objects or works are considered by the Committee to be likely to assist towards attaining anyone or more of its objects.
OFFICERS AND MEMBERS
  1. The Club shall consist of an unlimited number of members with Patron(s), President, Vice Presidents, and a maximum Committee of 12 Members from which a Chairman, Hon Secretary and Hon. Treasurer of the Club will be elected annually at the AGM.
ANNUAL RETURNS TO THE KENNEL CLUB
  1. The Officers acknowledge that during the month of January each year, Maintenance of title fee will be forwarded to the Kennel Club by the Secretary for continuance of Registration and that by the 31st of July each year, other returns, as stipulated in Kennel Club Regulations for the Registration and Maintenance of Title of Registered Societies, Branches of Registered Societies and Breed Councils be forwarded to the Kennel Club. The Officers acknowledge their duty to inform the Kennel Club of the month in which the society's Annual General Meeting is held and to notify the Kennel Club of any subsequent amendments to that date. The Officers also acknowledge their duty to inform the Kennel Club of any change of Secretary of the Society which may occur during the course of the year.
COMMITTEE
  1. The Management of the Club shall be in the hands of a committee consisting of up to twelve members, each one having signified their willingness in writing, been nominated and seconded to stand for election by ballot, such nominations to be received in writing by the Hon. Secretary fourteen days prior to the date of the AG.M. All Members shall retire annually.
  2. The President and Vice President will be invited to office at the Annual General Meeting.
  3. Meetings for the Committee shall be held as often as deemed necessary and a quorum of six persons shall be formed for the transaction of business.
  4. Any Committee Members failing to attend at least one Club night per month for a minimum of two hours shall automatically lose their Committee status in the Club and their seat on the Committee declared vacant, unless a good and valid reason be given to the Committee. Any Members of the Committee failing to attend two out of three consecutive Committee Meetings of which due notice has been given will automatically lose their Committee Status in the Club and their seat declared vacant unless a good and valid reason be given to the Committee.
  5. Once the resignation of a Committee Member has been received and accepted by the Committee such resignation cannot be withdrawn. The Member resigning shall be eligible for nomination and re-election at an A.G.M.
  6. The Committee may co-opt Members as necessary and those Members to stand for election at the next AGM.
  7. Committee Members shall be allowed to enter, exhibit but not to handle their own dogs at any Club Show. Officers and Committee Members of the Club be permitted to enter, exhibit and handle their own dogs in the Veteran Class of any Club Show.
  8. No member serving on the Committee in any capacity shall be entitled to more than one vote and in the case of the Chairman this is to be a casting vote.
MEMBERSHIP
  1. A person shall be deemed to be a Member of the Club on payment of the appropriate Annual Subscription and Insurance Cover (if applicable) and on such payment shall be entitled to all Club facilities and privileges and the right to vote. Membership shall be confined to owners and breeders of German Shepherd Dogs(Alsatian) and devotees of the breed.
    Membership shall be either single or joint, joint membership shall cover any two named persons residing at the same address, each having a vote. A list if members and their addresses will be made available for inspection if so requested by the members of the Club or by the Kennel Club.
  2. Life Membership can only be granted at the discretion of the Committee.
  3. The annual subscription shall be single or joint membership payable to the Honorary Treasurer on the 1st January each year. No member whose subscription is unpaid shall be entitled to any of the privileges of Membership.
  4. Only those who were paid-up Members before the 31st of Dec of the previous year and who have renewed their Membership for the current year may be permitted to vote at the AGM.
EXPULSION OF MEMBERS
  1. Any Member who shall be suspended under Kennel Club Rule A42j(4) and/or any member whose dog(s) are disqualified under Kennel Club Rule A42j(8)shall ipso facto cease to be a Member of the Society for the duration of the suspension and/or disqualification. If the conduct of any member shall, in the opinion of the Committee of the Society, be injurious or be likely to be injurious to the character or interests of the Society, the Comittee of the Society may, at a meeting the notice convening which includes as an object the consideration of the conduct of the Member, determine that a Special General Meeting of the Society shall be called for the purpose of passing a resolution to expel him/her. Notice of the Special General Meeting shall be sent to the accused Member, giving particulars of the complaint and advising the place, date and hour of the Meeting that he/she may attend and offer an explanation. If at that Meeting, a resolution to expel is passed by a two-thirds majority of the Members present and voting, his/her name shall forthwith be erased from the list of Members; and he/she thereupon cease for all purposes to be a Member of the Society except that he/she may, within two calendar months from the date of such Meeting, appeal to the Kennel Club upon and subject to such condition as the Kennel Club may imposej
GENERAL MEETINGS
  1. The Annual General Meeting shall be held before the last day of February for the purpose of receiving the accounts and a report from the Secretary, to elect Officers and to discuss any resolution duly placed on the Agenda, of which 14 days prior notice in writing has been given to the Hon. Secretary.
  2. The Election of Officers and Committee at the Annual General Meeting shall be either by vote or ballot of those present at the Meeting.
  3. A Special General Meeting shall be summoned by the Hon. Secretary if fifteen Members send a signed requisition stating the subject to be discussed. No business other than the matter on the Agenda can be discussed at a Special General Meeting. Members will receive twenty eight days’ notice in writing of an Annual General Meeting or Special General Meeting. Members joining in the period of six weeks before an SGM and the actual meeting may not vote at that SGM.
  4. The Rules of the Club shall not be altered except at a General Meeting or Special General Meeting, and any alterations to the Rules passed at a General Meeting or Special General Meeting shall not be brought into effect until the Kennel Club has been advised and has given approval to the alterations.
  5. Selection of Judges for the Club Championship Show shall be made by the Committee.
CLUB ACCOUNTS
  1. The financial year of the Club shall be from 1st January until the 31st December. A banking account be opened in the name of the Club into which all revenue of the Club shall be paid and from which withdrawals shall be made on the signatures of any two of the following:-
  2. The Hon. Secretary, the Hon. Treasurer or the Club Chairman The accounts shall be kept by the Hon. Treasurer and audited by Auditors appointed by the Committee. The accounts will be presented annually to the members at the Annual General Meeting.
CLUB PROPERTY
  1. The property of the club shall be vested in the Committee and in the event of the Club ceasing to exist a General Meeting shall be called to decide of its disposal.
DOGS
  1. No dog or bitch shall be allowed into the Club under the age of sixteen weeks and the age at which a dog or bitch shall take part in training is at the discretion of the Club Trainer. All dogs shall be kept on a lead whilst on the Club's training premises unless otherwise requested by the Trainer.
FEDERATION
  1. The Club shall not join any Federation of Clubs or Societies
KENNEL CLUB FINAL COURT OF APPEAL
  1. The Kennel Club shall be the final court of appeal in all matters of dispute
No person whilst an undischarged bankrupt may serve on the Committee of GSD Club of Essex nor hold any other Office or appointment within the Club.
